    Does Your SaaS Portfolio Need a Renewal Audit?

    The questions a customer does not ask on a renewal call tell you whether anyone has ever looked at their own usage.

    I spent years on the vendor side of enterprise software, and I could usually tell within the first few minutes of a renewal call whether the customer had ever audited their own usage. It showed in the questions they did not ask.

    I remember a company that had been renewing the same handful of tools for three years running, always on time, always without much friction. What they did not know, because nobody had ever pulled the numbers, was that one of those tools had 40% of its licences sitting completely unused, left over from a team reorganisation two years earlier. Nobody was lying to them. Nobody had asked.

    The signs a portfolio has not been audited in a while

    • You cannot say, without checking, how many active users a major tool has versus how many seats you pay for
    • Renewals have gone through the same way for multiple cycles without anyone questioning the price
    • Nobody could tell you, off the top of their head, who owns the relationship with more than half your vendors
    • You suspect there is overlap between tools in different departments, but nobody has confirmed it

    • Nobody can state active users versus paid seats without checking.
    • The same renewals have gone through unquestioned for several cycles.
    • More than half the vendors have no named internal owner.
    • Overlap between departments is suspected but never confirmed.
