Google Gemini for Workspace Renewal Negotiation: What Buyers Should Know
There is no longer a Gemini negotiation separate from your Workspace renewal, and understanding why is the key to negotiating it well.

From separable add-on to base plan

Gemini Enterprise, the agent platform launched in October 2025, is a different product from the discontinued Workspace add-on of the same name.
What changed, and why it matters
Until March 2025, Google sold Gemini as a standalone add-on: Gemini Business at $20 per user per month, Gemini Enterprise at $30, layered on a Workspace subscription. Both were discontinued. Gemini is now bundled into Workspace Business Standard, Plus and Enterprise with no separate line item, and base Workspace prices rose 17 to 22 percent to absorb the cost. Business Starter moved from roughly $6 to $7 or $8, Standard from $12 to $14 to $18, and Plus from $18 to $22 up to $22 to $28 per user per month, depending on region and promotional pricing.
Worth naming plainly
This is functionally a price increase presented as a feature addition. There is no toggle to decline Gemini and pay the old rate. Every user on a qualifying plan pays for AI access whether they use it or not, with none of the per-user cost control a separate add-on allowed. Business Starter gets a more limited version with capped prompts; Standard, Plus and Enterprise get the full feature set.
A separate product with a confusingly similar name
Google also launched an entirely different product called Gemini Enterprise in October 2025, an agent-building platform built on the former Vertex AI infrastructure, unrelated to the discontinued Workspace add-on of the same name. If the term appears in a quote, confirm which product is actually being discussed. There is also a newer add-on, AI Expanded Access, reportedly around $20 per user per month, for usage above what the base plan bundles.
Questions worth asking before you sign
- What was our per-seat Workspace price before bundling, and how much of the increase is attributable to that change versus an underlying Workspace increase
- Do we need AI Expanded Access, or is bundled Gemini sufficient for actual usage patterns
- Are we being quoted the discontinued Workspace add-on or the separate Gemini Enterprise agent platform, and which does our use case need
- Are we on annual or flexible billing, and does switching to annual meaningfully reduce the effective per-seat rate
Common levers buyers use
Since the AI component cannot be separated from the base plan, the realistic lever is negotiating the Workspace renewal as a whole: tier selection, seat count accuracy, and annual versus monthly commitment, rather than trying to negotiate the AI portion in isolation, which the current structure does not allow.
